CONSTITUTION OF THE A∙CHIK KU∙RANG EDITORIAL CLUB (AKEC), SHILLONG COLLEGE

  1. Name of the Club

The club will be called the “A∙chik Ku∙rang Editorial Club (AKEC)”

  1. Date of Incorporation

10th March, 2026

  1. Motto:

“United in Voice, Leading by Choice, Equipped for Tomorrow.”

  1. Objectives:
  2. To collect, review, select, edit, and proofread articles and other submissions for college publications.
  3. To encourage students to contribute essays, poems, short stories, reviews, interviews, reports, and creative works.
  4. To organize writing, editing, proofreading, journalism, and content-creation workshops.
  5. To develop students’ abilities in grammar, vocabulary, editing, critical thinking, and effective communication.
  6. To prepare and publish the college magazine, newsletter, departmental publications, and other approved publications.
  7. To provide practical experience in editing, layout, publication, and digital content creation.
  8. To encourage original writing and promote awareness of copyright, plagiarism, and academic integrity.
  9. To document important college events, programmes, achievements, and activities.
  10. To provide opportunities for students to work collaboratively as writers, editors, reporters, photographers, and content creators.
  11. To ensure that published content reflects the academic values, cultural diversity, and identity of the college.
  12. To identify and nurture students with talent and interest in literature, journalism, editing, and creative writing.
  13. To promote the college’s literary and academic activities through appropriate print and digital platforms.
  14. Membership:

Membership to the Editorial Club, Shillong College will be as follows:

  1. Membership will be mandatory for all students of Garo Department.
  2. Students from different departments of Shillong College with an interest in Garo language are eligible for general membership with approval from the Garo Department.
  3. Alumni of the Garo Department of Shillong College can also enroll and become members of the club.
  4. Faculty members of the Department will act as mentors and advisers.
  5. Duties and Responsibilities:

Each office bearer will have his or her own duties and responsibilities as elaborated below:

President:

a. Overall supervision and guidance

b. Approval of major decisions and events.

Faculty Advisory Members:

a. Provides mentorship and academic guidance.

b. Assist in planning and execution of activities.

Vice President:

a. Assist President in carrying out the activities and programmes of the club.

b. To act as President in the absence of President.

Secretary:

a. Coordinates meetings and activities.

b. Maintain records and documentation.

c. Present a report after every programmes and/or activities, and at the end of each semester to be approved by HOD and the Principal.

Treasurer:

a. Manage funds and maintain financial records.

b. Prepare budget reports.

Event Coordinator:

a. Plan and execute events and programmes.

Publicity and Outreach Coordinator:

a. Manage technical aspects (presentation, equipment,etc.)

b. Promote events through social media and notices.

c. Handle publicity and outreach.

  1. Tenure: All student office bearers shall hold office for one academic year. (July –June)
  2. Elections/ Nominations:
  3. Elections and Nominations to the various posts will be held at the beginning of each academic year.
  4. In case of nomination, the student member nominated must be by a majority of the club members.
  5. In case of election, each selected member requires a simple majority vote by club members.
  6. The faculty advisers will act as overseers to ensure smooth conduct of the election process.
  7. Meetings: The meetings of the Editorial Club are listed below:
  8. Regular meetings to be held at least once a month.
  9. Emergency meetings may be called if required.
  10. Special meetings can be called by the President with the consent of the Head of the Department of Garo.
  11. Programmes and Activities:

The Editorial Club of the Department of Garo may undertake the following programmes and activities with prior information from the Department and Principal:

  1. Publication of a Garo Department Magazine/Newsletter
  2. Collection and documentation of Garo oral literature and folklore
  3. Creative writing in Garo and English
  4. Translation activities
  5. Editing and proofreading
  6. Interviews with writers, scholars and cultural practitioners
  7. Documentation of Garo traditions, customs and cultural practices
  8. Poetry, short-story and essay writing
  9. Book and literary reviews
  10. Photography and visual documentation
  11. Digital publishing and social-media content
  12. Literary discussions, workshops and competitions






Organizational Structure:

The Editorial Club will be primarily student driven with guidance from faculty members. The organizational structure of the Editorial Club of the Garo Department will constitute the following:

1.    Head of the Department

Provides academic guidance and overall supervision.

2.    Faculty Coordinator:

One faculty member from the Department of Garo. (Gamseng N. Sangma), Coordinates the activities of the Club and supervises publications.

3.    Faculty Advisory Members:

Faculty members from the Department of Garo.Faculty members from other departments may be invited when necessary.
